Accounts Payable Clerk Job Description
|
An accounts payable clerk plays a key role in making sure that an organisation disburses correct and timely payments for goods or services it has procured from its vendors, suppliers and employees.
Accounts Payable Clerk Job Duties:
An accounts payable clerk’s job is for you if you are good with numbers, are particular about commitments made to suppliers and are scrupulous in your work. Often people in this role move on to become staff accountants or accounts payable managers. This role prevails across industries, including but not limited to manufacturing, healthcare, car dealerships and construction companies.
Accounts Payable Clerk Responsibilities Include:
1) Matching purchase orders with vendor/supplier invoices.
2) Coding and data entry of invoices for payments.
3) Processing vendor/supplier invoices.
4) Reviewing invoices to ensure that they comply with the terms of the agreed contract.
5) Ensuring that payments to vendors are made on time and as per agreed terms.
6) Preparing and processing accounts payable cheques and wire transfers and maintaining a record of the same.
7) Maintaining vendor files.
8) Processing staff reimbursements and monitoring the payroll system, which would include activities such as salary calculations, data entry into payroll systems and distribution of cheques where required.
9) Processing requisition vouchers.
10) In some cases providing administrative support such as maintaining a filing system for financial documentation.
Accounts Payable Clerk Knowledge and Skills:
1) A thorough understanding of financial accounting concepts.
2) Knowledge of the vendors’ business and cash flow cycle.
3) Proficiency in data entry and typing is important.
4) Problem solving skills are necessary in order to identify and resolve discrepancies.
5) Oral and written communication skills are required in order to effectively interact with vendors externally and internally with employees.
Accounts Payable Clerk Educational Qualifications and Experience:
1) A Bachelor’s degree in accounting or an Associate’s degree in accounting is usually preferred, though few positions are available to high school diploma holders.
2) Experience of above 1 year with accounting procedures and accounts payable.
3) Proficiency in Microsoft Office, especially Word and Excel is essential, while working knowledge of Peoplesoft, QuickBooks and MIP is preferred and sometimes required.
4) SAP experience is favoured.
Accounts Payable Clerk Salary and Benefits:
1) The industry average hourly pay rate is considered to be $12 to $16, while overtime rates range from $18 to $24. The annual average salary is between $25000 and $35000.
