An admin assistant is responsible for undertaking various activities that support a person or team, usually business executives, allowing them to focus on and efficiently carry out the tasks their positions call for.
Admin Assistant Job Duties:
If you have exceptional organisational skills, get along easily with people, are a team player and are good at multi-tasking, you might make a good admin assistant.
Though each admin assistant’s job will differ from another’s, depending on the industry, office environment and the working style of those they are supporting, they will generally be required to:
1) Plan and schedule meetings and appointments and maintain calendars.
2) Draft, type and edit outgoing correspondence.
3) Screen and prioritise incoming correspondence for executives’ perusal.
4) Disseminate information.
5) Make and receive telephone calls on behalf of those they support and be able to handle a multi-line telephone system.
6) Categorise and maintain files, both paper and electronic.
7) Make travel arrangements.
8) Anticipate and gather documents, information and materials that executives may require for meetings and conferences.
9) Perform general clerical activities, including faxing, copying, filing and mail merge.
10) Manage a customer database.
11) Prepare presentations as indicated by executives.
Admin Assistant Knowledge and Skills:
1) Excellent typing and language skills.
2) Daily job responsibilities require good verbal and written communication skills.
3) A pleasing, yet assertive and professional manner is beneficial, as an admin assistant is required to interact with a wide variety of people within and external to the organisation.
4) An aptitude for prioritising and multi-tasking is essential, as the job calls for undertaking a variety of tasks within given deadlines.
5) The ability to be discrete is favoured, as the admin assistant often has access to confidential information.
Admin Assistant Educational Qualifications and Experience:
1) A Bachelor’s degree is preferred, though a high school diploma holder with adequate experience may also be considered for certain positions.
2) Advanced working knowledge of all Microsoft Office applications.
3) Work experience of above 2 years is generally necessary and where advanced administrative capabilities are required, a minimum of 5 years experience is preferred.
Admin Assistant Salary and Benefits:
1) The industry average is considered to be $11 to $16 per hour, with overtime rates ranging between $17 and $24. The annual average salary ranges between $25,000 and $37,000.
