An administrative clerk performs activities, usually operational and sometimes secretarial in nature, that are required to efficiently run a business or department. This job is commonly sought out by fresh graduates, looking to gain experience in a particular field or industry.
Administrative Clerk Job Duties:
If you are a highly organised individual, have a pleasing manner and are interested in learning more about a particular industry or business, a position as an administrative clerk would be perfect for you. This position allows the opportunity for keen observation of how an office in a particular industry operates.
Though job duties will vary from one business to another, an administrative clerk would be required to perform some or all of the following:
1) Opening and routing incoming mail, drafting outgoing correspondence and dispatching mail.
2) Preparing and dispatching invoices, bills and receipts.
3) Maintaining records of orders placed for products or services.
4) Receiving and correctly directing visitors.
5) Answering screening and routing phone calls.
6) Providing appropriate information to callers.
7) Copying, tabulating and recording data.
8) Filing documents appropriately.
9) Distributing documents, such as reports, within the organisation.
10) Scanning and photocopying activities.
11) Supervising maintenance of office housekeeping.
Administrative Clerk Knowledge and Skills:
1) Good organisation, prioritising and time management skills are required as the workload is usually diversified and required to be completed within a timeframe.
2) Excellent interpersonal skills are necessary, as greeting customers in person or over the phone and interacting with a variety of people within the organisation forms part of daily activities.
3) Excellent language and typing skills are essential.
4) Reliability is favoured, as the successful completion of tasks by other people in the organisation often depends on the support services rendered by an administrative clerk.
Administrative Clerk Educational Qualifications and Experience:
1) A high school diploma may suffice, though larger organisations usually prefer a college degree.
2) Often this is an entry level job, so experience is not always required, though depending on the complexity of the job and size of the organisation, some may require 2 – 3 years experience in a similar position.
3) Working knowledge of Microsoft Office applications is essential.
4) Training at a post secondary vocational school, in the relevant field, may also be beneficial.
