Event Planner Job Description
|
An event planner provides the service of planning and organising events, taking care of every detail, to ensure that the occasion goes off without a hitch. Most event planners specialise in one area, such as wedding planning, corporate function planning, children’s functions, sporting, fund raising, product promotion events etc.
Event Planner Job Duties
If you are a creative person, extremely organised and methodical and like being in charge of organising functions, the ideal job for you might be that of an event planner. While organisations exist that specialise in offering these services, many individuals work on their own as event planners. In some cases a company may employ an individual to manage all the company’s events.
Responsibilities include:
1) Meeting with clients to understand their requirements and budget, as well as preferences for the particular event.
2) Booking venues if required.
3) Formulating an overall plan for the event and accordingly allocating responsibilities.
4) Coordinating with various vendors who provide services or products such as sound and light equipment, furniture rentals, decorations, flowers, food and drinks.
5) Guiding and directing participants such as performing artists.
6) Conducting trial runs of the intended event.
7) For corporate functions planning and making bookings for meals, accommodation and travel.
8) Ensuring that all vendors receive timely and accurate payment.
Event Planner Knowledge and Skills
1) Creativity to come up with unique options for the client.
2) Ability to multi task and handle stress within a given time frame.
3) Thinking out of the box and making quick decisions in case of emergencies, such as a sudden short supply of a product or cancellation by a performing artist.
4) Methodical thinking and discipline to ensure that every aspect of the function is given due attention and that alternative plans exist, in case something goes wrong.
5) Good listening and communication skills to properly understand what the client wants and to ensure that it is delivered via all the people that make up an event organisation team.
Event Planner Educational Qualifications and Experience
1) Though no specific educational qualifications are required, a Bachelor’s degree in Communications or Marketing may be favoured at some companies.
2) In excess of 4 – 5 years experience is preferred, but many companies higher inexperienced people who can learn on the job in an assistant’s position.
