Executive Assistant Job Description
|
Executive assistants support top level business executives in a company, by taking care of activities such as research, training and administrative functions, allowing the executives to devote their time to other tasks. The assistant may support just one individual or a group of executives.
Executive Assistant Job Duties
If you are a good team player, possess a highly professional attitude, excellent organisational skills and are willing to provide a number of services to a top level executive, including working after hours or from home when required, you may be suitable in the position of an executive assistant. This position is present across a large number of industries, including but not limited to healthcare, financial services, manufacturing, educational institutions, publishing houses and information technology.
Responsibilities are:
1) Conducting research as directed and preparing reports or presentations.
2) Overseeing and training lower level clerical staff.
3) Preparing or editing important correspondence or documents on behalf of the executive.
4) Maintaining the executive’s calendar and scheduling meetings accordingly.
5) Coordinating visits of business associates, partners or clients on behalf of the executive.
6) Arranging conference calls.
7) Maintaining and updating a filing system.
8) Screening phone calls.
9) Sometimes representing the executive at meetings or conferences.
10) Performing personal tasks for the executive when required.
Executive Assistant Knowledge and Skills
1) Good computer skills, especially with the Microsoft Office Suite and typing skills.
2) A good understanding of the particular industry.
3) Excellent organisational and time management skills, the ability to multi task and meet tight deadlines.
4) The ability to interact with a wide variety of individuals, including other top level management, lower level employees, customers and vendors or suppliers.
5) Superior written and verbal communication skills.
6) The ability to be discrete is highly valued, as a lot of confidential material often passes through the hands of the executive assistant.
Executive Assistant Educational Qualifications and Experience
1) A Bachelor’s or Associate’s degree in a business related field is preferred.
2) Experience of 2 – 5 years is required. Many work as entry level secretaries and work their way up to executive assistants.
3) Certifications favoured include those from the National Association of Legal Secretaries and the International Association of Administrative Professionals.
Executive Assistant Salary and Benefits
1) Annual average Executive assistant salaries range between $30,000 and $50,000 but could be much higher in large multinational corporations.
2) Benefits and perks vary, depending on organisation size, industry and complexity of tasks but usually include medical, dental and 401(k).
